Here’s a reminder for you veteran tour leaders and a reference for you rookie tour leaders.
- Tour theme and destination should be established at least three months in advance of the actual tour date. However, if you are planning an overnight tour, this information should be established a year ahead of time, whenever possible.
- Tour chairperson should provide flyer for publication in The Brass Nuts and website at least two months in advanced of the actual tour date.
- Printed tour directions must be provided to each participating vehicle.
- Rest stops should be planned for every 1-2 hours of driving.
- Meal stops should be planned in advance and meal arrangements made as to menu and seating. Prices should be published in advance.
- Trouble trucks should be provided on lengthy (100 miles round trip or overnight) tours or on tours with over ten cars.
- Tour and Safety Chairperson should be informed of tour route, rest stops and meal stops at least 40 days in advance of actual tour date, so proper insurance can be secured. No tour should be sponsored or condoned as an NCRG event that does not have proper insurance coverage in place.
- Tour Director should provide a write-up on the tour for The Brass Nuts after the event.
- Trouble truck drivers should receive compensation for fuel and meals.
- Tour and Safety Chairperson should make sure that each car owner has filled out a tour and safety checklist at least once each touring season.
- On overnight tours, arrangements need to include rooms and parking (and kitty litter for the parking lot - we want to be welcomed back!). Room price should be included in the tour price.
- Light refreshments ( coffee, juice, doughnuts, rolls, etc.) should be provided by the Tour Director at the start of every tour and/or morning rest stop.
- Any costs that may be incurred during the tour should be included (such as entrance charges, road tolls, etc.) in the tour announcements, if not part of the tour package.
- Tour route should, whenever possible, be driven in the week prior to the tour. Have contingency routes and plans available in case of construction or road closures and/or in the event your caterer goes out of business.
- Overnight tours should be paid 30 days in advance of tour date. Refund restrictions should be stated in the flyer.
- Tour Director will work with the NCRG Board of Directors on securing funding prior to tour.
- Last, but not least, if utilizing major thoroughfares, notify the Highway Patrol. They will notify regular truck users (gravel companies, agri-business, loggers, etc.) and this adds greatly to our safety.
